A workflow with clear boundaries
01

Your systems

CRM, email, documents and internal tools.

02

Workflow + AI

Connect information. Assist with defined tasks.

03

Human oversight

Review, approvals and exception handling.

04

Agreed action

Update a record, prepare a draft or route a task.

Start with the process

What keeps your
team busy?

Begin with the work, the people and the systems already in place. We assess where automation could help and what needs human judgment.

Discuss your process
01

Work repeated across tools

Manual CRM updates, copying data, recurring reports or administrative handoffs.

02

Information that is hard to use

Documents, messages and knowledge that need to be organized, retrieved or reviewed.

03

Tasks that need a clear next step

Requests waiting for routing, drafts, follow-up or approval from the right person.

Three ways to improve the workflow

Build around the work.
Connect what matters.

Choose the capability around the process. A project can combine automation, an AI assistant and integrations within one agreed scope.

01
AI Automation

Move repetitive
work forward.

Workflows that connect triggers, rules and AI-assisted steps across your operations.

  • Lead organization and CRM workflows
  • Email routing and follow-up drafts
  • Document classification and extraction
  • Reporting and back-office handoffs

Useful when the process has defined inputs, repeatable steps and an agreed way to handle exceptions.

02
AI Agents

Give your team
a capable assistant.

Assistants that use approved information and tools within a defined task and permission boundary.

  • Sales research and preparation assistants
  • Customer support assistance
  • Internal knowledge assistants
  • Operations task assistance

Define what the agent can access, what it may do and when it must ask a person to review or approve.

03
AI Integrations

Help your systems
work together.

Connect existing tools so information can move through a workflow with less manual handling.

  • CRM, email and calendar
  • Forms and databases
  • Available APIs and internal systems
  • Data flows between agreed tools

Feasibility depends on access, API support, data requirements and the systems involved.

Conceptual use cases

From new lead to a prepared follow-up.

Organize incoming lead information and prepare the next step for your sales team.

Human reviewSDR approves outreach

Your team reviews the information and approves outbound messages. Missing data and exceptions are routed for review.

Final tools, permissions, accuracy criteria and actions are agreed during discovery and testing.

Talent + AI

More capacity.
Better ways to work.

Some needs call for a professional. Others call for a better workflow. VANAO can explore both around the work your business needs to get done.

Illustrative combination / LATAM SDR

A person to build relationships.
A workflow to support execution.

The professional

Calls, discovery, relationships, qualification and judgment.

The workflow

Lead preparation, CRM updates, follow-up drafts, and reporting.

Talent and AI are independent services, each with its own scope and terms.

How a project develops

Understand. Build.
Test. Put it to work.

A defined scope connects the business need to a workflow your team can evaluate and use.

01 / Discovery

Map the current work.

Understand steps, people, data, tools, access, and exceptions.

02 / Scope

Agree on the boundaries.

Define deliverables, responsibilities, and acceptance criteria.

03 / Proposal

Confirm the engagement.

Agree on fees, dependencies, timing, and any support scope.

04 / Design

Plan the workflow.

Set permissions, approvals, and exception paths.

05 / Implementation

Build the agreed solution.

Configure workflows, integrations, and AI-assisted steps.

06 / Testing

Check it against the scope.

Test representative cases and review failure handling.

07 / Handoff

Prepare your team.

Provide agreed documentation, access and operating guidance.

08 / Support

Maintain what is agreed.

Define ongoing support or changes in a separate agreed scope.

Built with operating boundaries

Useful automation.
Clear responsibility.

Before deployment, agree how the workflow uses information, who approves actions and what happens when it cannot complete a task.

Data and access

Confirm the information needed, approved sources, permissions and handling requirements.

Human approval

Identify actions that require review before a message is sent or a system is updated.

Exceptions and fallback

Define how missing data, uncertain outputs and errors reach the responsible person.

Acceptance and ownership

Agree on testing criteria, access ownership, operating documentation and support responsibilities.

Your project proposal

Know what is included.
Before the build begins.

Each engagement is scoped around the process and your systems. Pricing is discussed in a private proposal.

  • Defined workflow and deliverables
  • Systems, data and access dependencies
  • Responsibilities and human approvals
  • Testing and acceptance criteria
  • Handoff and agreed documentation
  • Support, maintenance and change terms

Third-party tools, subscriptions and ongoing support are included only where expressly agreed.

Questions before you start

Let’s make the
scope clear.

Where should we start with AI?

Start with a process your team can describe: inputs, repeated steps, systems, decisions and exceptions. Discovery helps assess whether automation, an assistant, an integration or a combination is suitable.

What is the difference between automation and an AI agent?

An automation follows a defined workflow, which can include AI-assisted steps. An agent can use approved information and tools to assist with a defined task. Its permissions and the actions requiring review are agreed for the project.

Can you work with our existing tools?

We assess the systems, API availability, permissions and data requirements during discovery. Integration feasibility must be confirmed before it becomes part of the scope.

Will the workflow operate without human review?

The level of oversight depends on the task. Approval, escalation and exception handling are defined for each workflow. Full autonomy or perfect accuracy is not promised.

How long does implementation take?

Timing depends on complexity, data, access, dependencies and acceptance criteria. A project schedule is agreed in the proposal rather than promised universally.

How are pricing and support defined?

Pricing is provided in a private proposal. Support, maintenance, additional tools, and future changes are included only when expressly agreed.

Can AI Solutions be combined with Talent?

Yes. We can assess human capacity and automation needs together. Recruitment or Managed Talent and the AI project each retain their own scope and commercial terms.

What happens to our data?

Data sources, access, providers, and handling requirements are reviewed during discovery and reflected in the agreed project terms. Any security or compliance requirement must be assessed for the specific solution.
